NaturaeSoft Privacy Policy

This is part of the legal agreement between you (the Account Holder) and NaturaeSoft LLC d.b.a. NaturaeSoft regarding the use of all NaturaeSoft services.
NaturaeSoft is a business communication and networking platform. This policy describes the types of personal and/or business information we may collect and how we use it to provide the NaturaeSoft, OfficePro, ChartPro, NetPro, BillPro, ProductPro, NaturaeSoft.com, and NDmed.net services (collectively, "The Service"). The information we collect is used to improve the content of our web pages and the quality of our service and is not shared with or sold to other organizations for commercial purposes, except to provide products or services under the terms of this agreement.
1. Information We Collect
- Account Information: When you register with NaturaeSoft, we request your first and last name, email address, and password to create your account. Your password is stored in an encrypted form.
- Group Data and Contents: We store the content you provide in your NaturaeSoft account to deliver our services. Residual copies may remain on our systems for backup purposes even after data has been deleted or your account is terminated.
- Usage Data: We collect data about your account usage, such as login frequency, bandwidth usage, and actions within the platform, to improve the NaturaeSoft experience.
- Cookies and Log Information: We use cookies to recognize your device, maintain security, and improve user experience. You may control cookies through your browser settings, but some features may be unavailable if cookies are disabled.
2. How We Use Your Information
- Service Provision: To provide and improve our products and services, including billing, identification, and authentication.
- Communication: To send you newsletters, updates, and administrative messages. You may unsubscribe from marketing communications using the provided opt-out link.
- Customer Support: To assist you with technical difficulties or issues related to your account.
- Improvement and Research: To maintain, analyze, and improve our services, including research and development.
3. Sharing of Information
- Trusted Partners: We may share general information with trusted partners who work on our behalf under confidentiality agreements. Partners have no independent rights to share this information.
- Legal Requirements: We may share information to comply with legal obligations, such as responding to subpoenas, court orders, or legal processes, or to establish or defend legal claims.
- Protection and Safety: We may share information to investigate, prevent, or address illegal activities, suspected fraud, threats to physical safety, or violations of our terms of service.
- Advertising: Targeted advertisements may be displayed based on personal or business information. Advertisers may use their own cookies, subject to their own privacy policies.
- Change of Ownership: In the event of a transfer of ownership, such as a merger or acquisition, your personal information may be transferred to the new entity. You will be notified prior to the transfer.
4. User Rights
- Access and Rectify: You can access and update your account information at any time through the "Account Home" section. If you wish to delete your account, instructions are provided within your account settings.
- Withdraw Consent: You may withdraw your consent for data processing by terminating your account. Some services may no longer be available after consent is withdrawn.
5. Cookies and Website Analytics
We use cookies for authentication (to recognize you when you log in), preferences (to remember your language and other settings), security (to help maintain the security of your account), and service improvement (to analyze how our services are used). You can manage cookie preferences through your browser settings; disabling cookies may affect your ability to use certain features.
To understand how this website is used and to improve it, we operate our own first-party analytics rather than selling or sharing that activity with an advertising network. This uses two cookies set by us, readable only by us, and never shared with a third party:
nsv— a random identifier that lets us tell a returning visitor from a new one. It expires two years after your last visit.nss— a random identifier for your current visit. It expires after 30 minutes of inactivity.
Neither cookie contains your name, email address, or any information about you. Alongside them we record the pages you view, how long you spend on them, how far you scroll, which links and buttons you select, and which forms you begin or complete, together with your browser, device type, screen size, and approximate city-level location. If you later submit a form, we associate that activity with the record we create for you so that we can tell which parts of the site are actually helping practices find us.
We do not store your IP address. It is converted into an irreversible one-way value that changes daily and is used only to detect automated traffic. Detailed activity records are deleted after 180 days; only aggregate daily totals, which cannot be traced back to an individual, are kept longer.
If your browser sends a Do Not Track signal, we collect no activity beyond the page request itself. You may also clear these cookies at any time through your browser settings.
6. Data Security
- Encryption: Sensitive information, including passwords, is encrypted to ensure data security.
- Restricted Access: Only authorized employees can access personal data, and only under specific circumstances such as technical support or legal requirements.
- Data Backups: We perform regular backups to ensure data integrity and availability in case of system failures.
7. Data Retention and Disposition
We retain your personal data for as long as your account is active or as needed to provide our services. The following summarizes our practices; complete details are in our Data Disposition Addendum.
- Active accounts: Account and operational data is retained for the duration of your active account. PHI and clinical records are retained for a minimum of 6 years per HIPAA requirements (10 years for Oregon-based practices); billing records are retained for 7 years.
- After account termination: All primary storage copies of your data are deleted within 60 days of your account's effective termination date.
- Backup copies: Backup snapshots containing your data are purged within 90 days of account termination on NaturaeSoft's rolling backup cycle.
- Data export: You may request a full export of your data at any time during your active account, or within 30 days of termination, by contacting privacy@NaturaeSoft.com with the subject line "Data Export Request".
- Destruction certificate: A written Data Destruction Certificate confirming deletion is available upon written request after account termination is complete.
8. Age Requirement
NaturaeSoft services are only available to users who are at least 16 years old. If you are under 16, please do not use The Service.
9. Changes to This Policy
NaturaeSoft may update this policy periodically. We will notify you of significant changes by email or by placing a prominent notice on our website at least 30 days before the changes take effect.
