ChartPro

  • Fixed
    Service Groups in ChartPro Coding

Picking a service group in a chart note's Coding panel gave an error instead of adding the group's services, and the search squeezed descriptions into a narrow column. Groups now add from the Coding panel, each match shows on its own row with a group's services listed, and the arrow keys and Enter pick from the list.

  • Fixed
Products in Treatment Plans and Chart Notes

Products clicked into a treatment plan landed inside the previous product's instructions, and text typed after them came out in italics. Each product now goes in as its own block, and in the chart note's Plan as one line with shorthand dosing. Both panels list This visit and Other visits (6 months), each with an Add all link that skips products already in the note.

  • Improved
This Visit's Intake in the HX Sidebar

In a chart note, the HX sidebar now has a This visit's intake section listing what the patient reported for this visit: progress on each problem, new concerns, problems marked resolved and other concerns, with what makes each worse or better. Click an item, or Insert all, to put it into the note. Before, the sidebar showed each problem's answers from its first visit.

PatientPro

  • Fixed
Replying to Secure Messages in the Portal

In the portal's secure messages a reply was a single line and lost its line breaks, and on phones the page footer covered the reply box and the keyboard. The reply box now takes several lines and keeps them, the footer no longer covers it on small screens, and the page's automatic refresh waits while a reply is being typed.

  • New
    Booking Confirmation Email

Patients who book a visit in the portal now receive a confirmation email with the date and time in the practice's time zone, how long the visit is, the provider and visit type, the telehealth link for a telehealth visit, an intake link where the visit type uses intake, and a link back to the visit. The practice receives a copy.

  • Fixed
Subscribe and Save Keeps Prescribed Dosing

Subscribing to a product in the portal cleared the dosing instructions on the patient's auto-order, so later refills went out without them. The plan's dosing is now kept, and a new subscription takes the dosing from the patient's latest prescription for that product. Plans subscribed through the portal before this change may need their dosing re-entered.

  • Fixed
    Resubscribing Restarts an Ended Auto-Order

A patient who subscribed again in the portal to a product whose auto-order had been cancelled was charged, but the auto-order stayed ended and no refills followed. Subscribing again now restarts it, keeping any end date a provider has set in the future.

  • Fixed
Portal Purchases Move the Next Auto-Order

A patient on auto-order who also bought the product in the portal received both, because the purchase did not change the schedule. Buying a product in the portal now moves its next auto-order to a full interval after the purchase, and the order window tells the patient that the product is already on auto-order and whether a refill is already being prepared.

  • Fixed
Next Refill Date in the Portal

Patients changing an auto-order in the portal could set its next date to today, which sent a refill that night on top of the order they were paying for. The field is now Next refill date and cannot be set to today or earlier, and the checkout shows the real next refill date.

  • Fixed
Portal Documents Follow the Portal Setting

Each document type in OfficePro's document settings has a Portal box, which makes that type available to patients in the portal, but the portal showed every document on the patient's record whatever it said. The portal now shows only documents whose type has Portal ticked, plus documents the patient uploaded, on the Documents page and on past visits.

  • Updated
Portal Sign-Out After Two Idle Hours

Patients signed in to the patient portal stayed signed in until they closed the browser, however long it sat unattended. A portal sign-in now ends after two hours without activity, and the next page asks the patient to log in again before returning them to where they were. Every patient was also asked to sign in once more when this update went out.

  • Fixed
    Portal Order and Agreement Notices

The order confirmation email from the patient portal said the order came through the Practice patient portal instead of naming the practice, and the notice that a patient signed an agreement gave the practice's own name instead of the patient's. Both now show the right names. An auto-order placed without a refill interval now asks for one instead of hanging.

  • Improved
    Portal Card Payments Confirmed

Card payments made in the patient portal are now confirmed with the card processor before they are posted to the patient's account, a payment with the card on file can no longer be larger than the balance owed, and refreshing the page can no longer charge the card twice. If a payment cannot be confirmed, the patient is asked to contact the office.

  • Fixed
Pickup Order Tax in the Portal

Portal product orders picked up at the clinic were taxed at the rate for the patient's home address, which could differ from the clinic's rate, and the checkout page could show a different tax from the one charged. Pickup orders are now taxed at the clinic's rate, and the tax and total update when the patient switches between Pick up at clinic and Ship to my address.

  • Fixed
    Online Booking Deposits Enforced

Appointment types that require a deposit could, in some cases, be booked online without the deposit being paid. They now book only after the payment has been confirmed by the card processor, within two hours of paying, and each payment books one visit. Practices that do not take card payments in the portal are not affected.

  • Fixed
    Intake Better and Worse Answers

On the patient portal's return-visit intake, the boxes for what made a problem better and what made it worse were labelled the wrong way round, so each answer was saved under the opposite heading. The labels are corrected and the answers already given have been switched back. Intake PDFs saved before the fix, and any note text copied from them, still show the two reversed.

  • Fixed
    Adding Concerns on Return Intake

On the portal's return-visit intake, a patient with no concern yet on the visit could save a new concern that never appeared, after which the New Concern choice stopped responding until the page was reloaded. Saved concerns now appear with an Edit button and an Add Another Concern button. Editing a concern also keeps a changed onset date and its associated symptoms, and Mark as resolved no longer shows a stray popup.

BillPro

  • Fixed
Daily Claims by Date of Service

The daily claims list included claims created that day for earlier visits. It now lists only claims whose dates of service fall on that day.

  • Fixed
    Claims with No Services

A claim with no service lines showed green, as though it were complete and paid. It now shows red with No services on claim until services are added to it or it is deleted.

  • Fixed
ERA Posting Uses the Payment You Entered

When an ERA was posted for an insurance check the office had already entered by hand, BillPro added a second payment for the same check, so the money could be allocated twice, and posting a second ERA on the same check number could clear the allocations of other payments on that check. Posting now uses the matching payment you entered, keeping its date, amount and deposit, warns when more than one could match, and leaves other payments on the check alone.

  • New
Visit Diagnosis List on the Encounter

BillPro practices now keep one diagnosis list per visit on the encounter, up to twelve codes, searched from the current ICD-10 code set with a specifier that steps from a category down to a billable code. New service lines follow the visit's first four codes, while lines given their own codes, and lines already on a claim, are left alone. The same list appears in the chart note's Coding panel and in each service's Edit Service window.

  • New
    Open Claims in Allocate Payment

Allocate Payment has a new Open Claims window that lists patients with unpaid claim lines for the payment's payer, then their dates of service, then the lines to post, as the retired Legacy EOB Form's list did. It opens by itself while money is left to allocate. Lines on this payment are now shaded green and listed first, and lines completed by another payment are grey.

  • Improved
Appeal Button on Any Sent Claim

The Appeal button, which opens a ClaimMD appeal, was shown only on rejected claims. The claim's own page now has an Appeal button for any claim ClaimMD has received, including accepted claims a payer later denied and claims re-created after sending.

  • Fixed
    Allocate Payment Rows Saving Repeatedly

On Allocate Payment, two rows could keep saving each other, so the screen flashed between Save and Saved and every save added another note to the claim's history. Each row now saves once per change, and the cursor stays where you are working.

  • Fixed
    Processing Reports by Date Received

BillPro Processing Reports filtered on the visit's date of service, so Today was nearly always empty and recent replies were hard to find, and searching the list gave an error. The list now has a Received column showing when each reply reached BillPro, filters and sorts on it with the newest first, and searches the message, claim number and patient name.

  • Updated
    Legacy EOB Form Retired

The Legacy EOB Form button has been removed from Allocate Payment, and old links to that form now open Allocate Payment for the same payment. When its Allowed box was empty, the old form could book the whole charge as an insurance write-off without warning, and the wrong figure stayed after the real amount was typed. Post insurance payments from Allocate Payment.

ConnectPro

  • Updated
    Texting Included with OfficePro

Patient texting is now part of OfficePro for every practice: anyone with texting access opens the communications page whether or not the practice has ConnectPro. ConnectPro adds calling from OfficePro, the phone menu, voicemail transcription and more included texts each month; without it, the calls and voicemail panels are replaced by information about ConnectPro.

  • New
    Texts Waiting on a Reply

The text message icon at the bottom of every OfficePro page now shows a red count of text conversations waiting on a reply, and the same count appears in a new box beside Msgs at the top of the page. Clicking that box opens your conversations filtered to the ones waiting on a reply. The count updates on its own as texts arrive and conversations are opened.

OfficePro

  • New
    Visit Length in Patient Messages

Texts and emails about an upcoming visit - scheduled, updated and telehealth messages, reminders, the check-out receipt and the portal booking confirmation - now say how long the visit is, for example for 60 min. Untick Tell the patient how long the visit is in Admin > Schedule to leave it out, or choose Always or Never for a visit type in the visit type editor.

  • Fixed
Schedule Columns for Every Start Time

For practices whose schedule starts at 7 or 9 am, the day columns ran past the last time on the time bar and out-of-office and holiday blocks were the wrong length, and a day off saved as zero hours stretched its column past the end of the day. The time bar, columns and blocks now all run from the practice's start time to 10 pm.

  • Fixed
Online Orders Below the Daily Schedule

Product orders and refills placed through the portal late at night or early in the morning were missing from the list below the daily schedule, and orders could appear in the day's chronological list. The list below the schedule now shows every order and refill for the day, and the chronological list leaves them out.

  • Fixed
Schedule Check-In Icons in the Evening

The check-in icons on today's visits disappeared from the schedule in the evening, because the schedule went by the server's date rather than the practice's. They now follow the practice's own date in every schedule view, and meetings no longer show a check-in icon in the graph views.

  • New
Check-In Icon on the Encounter and Chart Note

The check-in icon from the schedule now also sits at the bottom of the encounter, the chart note and the treatment plan. Click it to check the patient in, check them out or undo a check-out without leaving the page, and point at it to see the check-in and check-out times.

  • Fixed
Void or Refund on Card Payments

The card payment window kept offering Void on a payment after the day's card batch had closed, when only a refund can return the money, and judged the day by the server's clock, so an evening payment could show the wrong choice. It now offers Void only on a payment taken today, in the practice's own time zone, whose card batch has not closed, and Refund for everything else.

  • Improved
Service Group Editor Saves as You Edit

The service group editor now saves each change as you make it, without reloading. Descriptions can be longer and keep characters such as &, # and +, which used to cut them short, and the order of the services is saved as set. A group that lists a deleted service opens normally, and adding it to an encounter skips that service instead of failing or adding the previous service twice.

  • Fixed
    Encounter for Patients with Reminders

For a patient with an upcoming reminder, the encounter stopped with an error at its Follow Up Options panel, and the Edit Reminder window failed the same way. Both open normally again.

  • Updated
Diagnosis Lists Checked Against Current ICD-10

Diagnosis searches and the practice's diagnosis list now use the current ICD-10-CM code set. Category headings that need more characters are shown but cannot be picked, and the diagnosis admin says how many active codes will not bill, such as headings, ICD-9 codes and retired codes, with a Show them link so each can be changed or switched off. New practices start with codes that bill.

  • Fixed
    Afternoon Hours on Provider Schedules

On the daily provider graph and the weekly provider schedules, the provider columns stopped short in the afternoon, so the later hours had no grid behind them and double-clicking there did not start a new visit. The columns now run to 10 pm.

  • Fixed
Add Visit Patient Search and Saved Passwords

Typing a name in the Patient box of Add Visit could make the browser offer to save a password. It no longer does.

  • Fixed
    Encounter Check-Out Time

Check Out (Save) recorded the check-out time by the web server's clock rather than the practice's time zone, so the time shown on the visit could be an hour or more off. It now uses the practice's own time zone, the same as check-in.

  • New
Warning When a Checked-Out Visit Changes

If a service or product on a checked-out visit is added, removed, or changes in quantity, price, discount or tax, the check-in icon turns into a yellow warning on the schedule and in the encounter. Check Out (Save) records the changes and clears it. The service and product windows say when a visit is already checked out, and deleting a line from a checked-out encounter asks first.

  • Improved
    Check-Out Recorded from the Schedule

Clicking the green check-in icon on the schedule removed the check-in instead of checking the patient out. It now records the check-out and its time and shows a green check mark, which can be clicked to undo the check-out. An orange dot means not yet checked in and a green tick means checked in.

  • Improved
    Recurring Visit and Meeting Planner

Add Visit - Recurring and Add Meeting - Recurring now list every date before booking, marked Open or with the reason it does not fit, such as a holiday, day off, outside schedule hours, a busy provider or patient, or a room already taken. Each conflict comes with a suggested fix such as the nearest free time, and dates that still did not fit can be booked with one click from the results page. Meetings can include several providers and rooms.

  • Fixed
    Apostrophes in Recurring Visit Complaints

Booking a series of recurring visits or meetings doubled every apostrophe in the complaint or subject, and doubled it again on each later visit in the series, until the text was cut off. Series now save the text exactly as typed.

Platform

  • Improved
Support Team Replies in the Help Chat

When the support team replied to a conversation on the support site, the Need help button gave no sign of it. The button now shows a New reply badge and opens the conversation with the reply.

OfficePro Mobile

  • Improved
    Mobile Visit Add and Edit

Adding and editing visits on mobile now works as it does in OfficePro: a Notify patient box, Do Not Remind and Telehealth options, the reminder sent again after a change, the visit's products and services following its new date and provider, and cancellation wording when a visit is cancelled. Both are recorded in the visit history.

ChartPro

  • Updated
    ChartPro Admin Menu Refresh

The ChartPro admin menu now uses the same icon buttons as the BillPro menu, without the Admin Areas box around them, and Settings sits last. The Systems / Symptoms button, and the matching section on the ChartPro home and admin pages, are now labelled Symptoms.

  • Fixed
    Segment Form Kept on Save

Saving a note segment could silently remove the form attached to it when that form was not in the Include a Form list, so the segment's panel stopped appearing in chart notes. The segment editor now always keeps the current form selected. Objective forms can now also be chosen when adding or editing a segment.

  • Fixed
    Medication Links in Chart Notes

In the chart note sidebar, a medication whose name, instructions or status contained an apostrophe, quote mark or line break broke its link, and the Add Meds List and Add All Meds links with it. These links now add the medications to the note as expected.

  • Improved
    ChartPro Monthly Stats

The ChartPro home sidebar now counts Chart Notes Signed, Treatment Plans and Intake Forms Completed for a calendar month instead of the last seven days, with arrows to step between months. A new ChartPro AI Notes count shows how many notes ChartPro AI generated that month and how many visits they covered.
