Improved
Visit Conflict Confirmation
When a scheduling conflict is detected, the save buttons stay disabled until staff explicitly choose to try again or save despite the conflict, preventing accidental duplicate visits. Clicking a suggested alternative time now saves the visit directly.
-
Fixed
Accurate Check-In Time Zone
Patient check-in times are now recorded in the practice's local time zone, so the recent check-ins list and provider notifications reflect the correct time.
-
Fixed
Visit Types Hidden by Invalid Category
Visit types whose category was missing or invalid no longer disappear from the admin list. They now appear under the Admin category so they can be edited and configured.
-
New
Automatic Visit Tagging by Visit Type
Each visit type can now be configured to automatically add or remove patient tags whenever that type of visit is scheduled or created. Tags are applied across new appointments, recurring visit series, over-the-counter encounters, product returns, refunds, and refill orders, using an easy tag picker with autocomplete.
-
Fixed
Clearer Card Entry Error Message
When the secure card-entry form cannot load, staff now see a clear, descriptive message explaining the likely cause instead of a blank or broken form.
-
Fixed
Saved Card Charges Require Patient Email
Saved card-on-file payment options are now disabled with a clear tooltip when a patient has no email address on file, since the processor requires an email for these charges. This prevents failed payments and explains how to resolve it.
-
Improved
Proportional Contribution Refunds
When a payment that included a profession contribution is refunded, the contribution portion is now refunded proportionally and reversed in the records automatically.
-
New
1% for the Profession Contribution Program
Practices using card payments can opt in to contribute a small percentage (default 1%, up to 5%) of each processed transaction to the profession. The contribution is split out of the transaction total without changing what the patient is charged, appears on every receipt, and is tracked on each payment and refund.
-
New
NFC Tap-to-Pay Access Cards
Practices can now assign a tap-to-pay NFC card to each patient by tapping the card on a connected reader, with a one-click installer for the NFC bridge software. Assigned cards are stored on the patient record and can be replaced or removed at any time.
-
Improved
Search by Email Address
Patient and contact searches now also match on email address, making it easier to find the right record when only an email is known.
-
Fixed
Prevent Duplicate Visit Saves
The Save button on the add and edit visit screens is now disabled while a visit is being processed, preventing accidental double-booking from multiple clicks.
-
Fixed
Duplicate Check-In Sounds
The patient check-in alert sound now plays only once per arrival, eliminating repeated notification chimes for the same check-in.
-
New
Notification Confirmation Screen
After scheduling or updating a visit, staff now see an on-screen confirmation showing whether an email, a text message, or both were sent to the patient.
-
New
Appointment Cancellation Notices
When an appointment is cancelled or deleted, patients can now be automatically notified by email and text message that their visit has been cancelled, with a prompt to contact the office to reschedule.
-
Improved
Appointment Add and Update Notifications
When a visit is scheduled or updated, patients can now receive both an email and a text message confirming the appointment details, including an easy option to reply with questions or to reschedule.
-
New
Default Visit Alert Settings
Practices can now choose, in schedule settings, to have appointment alerts pre-selected by default whenever a visit is added or edited, so patients are kept informed without staff having to remember to check the box each time.
-
New
Intake Request Email Preview
Added a preview for the patient intake request email so staff can see exactly what patients will receive before sending intake invitations.
-
Fixed
Resource Schedule Saving
Saving weekly working hours for a room or resource now works reliably even when no schedule existed before, and the system no longer creates empty placeholder schedules just from opening the editor.
-
Improved
Refund Status Indicators
Payments that have been refunded now clearly display a REFUNDED status, and the Refund option is automatically hidden once a payment has already been refunded to prevent duplicate refunds.
-
New
Credit Card Refunds
Staff can now refund credit card payments directly from the processed payment screen. A new Refund button opens a simple window where you confirm the amount and send the refund to the patient's card, with the patient's credit balance updated automatically.
-
Improved
Provider Visit Report Chart
Updated the monthly visits-by-provider pie chart so provider visit totals display accurately and consistently in reports.
-
Fixed
Non-Inventory Products on Encounters
Adding a non-inventory product to an encounter no longer triggers an unnecessary on-hand stock warning, streamlining checkout for services and non-stocked items.
-
Fixed
Room Schedule Shows All Booked Visits
The daily room and resource schedule views now correctly display every visit assigned to a room, including visits booked directly to a room without a separate resource assignment.
-
New
Unlock Locked User Accounts
Administrators can now see when a staff account is locked from failed sign-in attempts and unlock it with a single click directly from the Users list, without waiting for the lockout to expire.
-
Improved
Easier IP Authentication Controls
The IP authentication setting now uses a simple on/off switch that instantly shows or hides the approved IP address list and confirms changes without reloading the page.
-
New
Two-Factor Setup Reminder for Admins
Administrators who have not yet set up two-step login verification now see a reminder banner with a quick link to configure it, helping keep admin accounts secure.
-
Improved
Require Two-Factor for All Users
Administrators can now turn on two-step login verification for all staff users at once with a single switch in User Administration, strengthening account security.
-
Fixed
Add-to-Cart Safeguard for Missing Products
Adding an item to a patient cart now safely stops with a clear message if the product cannot be found, instead of producing an error.
-
Fixed
Multiple Resources Per Visit on Schedule
Fixed resource schedule views so a visit that uses more than one of the same resource now displays correctly across the daily and weekly resource and room calendars.
-
Improved
Expandable Document Viewer
The document viewer now resizes to fill the window, giving staff a larger, cleaner view of patient documents and PDFs without cramped scrolling.

ChartPro AI
-
New
Transcript Satisfaction Rating
After reviewing an AI-generated chart note, providers are now prompted to rate their experience with a quick satisfaction survey. This feedback is used to continuously improve the quality of AI-assisted charting.

Whisper Transcription Quality Improvements
The AI speech recognition engine has been tuned for improved accuracy, with refinements to how audio is processed and how transcripts are previewed and confirmed before generating a chart note.
-
Improved
Transcription Session Logging
ChartPro AI transcription sessions are now recorded in a usage log. This supports quality review, usage reporting, and troubleshooting of recording issues.
-
New
On-Device Live Speech Transcription
ChartPro Kiosk now supports real-time speech transcription that streams text as audio is captured using the device's own processing capability. This significantly reduces transcription wait times and allows providers to review and edit the transcript before generating a chart note.
-
Improved
Virtual Visit Audio Capture
When using ChartPro AI during a video visit, the listener can now capture audio from both the provider microphone and the patient audio coming through the screen, so both sides of the conversation are included in the transcription.
-
New
Transcript Review Before Note Generation
After recording is complete, providers can now review the full raw transcript before sending it to ChartPro AI for note generation. This allows any obvious errors or irrelevant content to be addressed before the AI produces the chart note.
-
Improved
Real-Time Transcription
ChartPro AI now begins transcribing audio progressively throughout a session rather than waiting until the end. Partial transcripts update every 20 to 30 seconds, giving providers visibility into what has been captured while the encounter is still in progress.
-
New
Monthly AI Usage Counter
A usage indicator is now displayed on the ChartPro AI launch button showing how many AI notes have been generated this month relative to the included monthly limit. The counter turns red when approaching or exceeding the limit.

ChartPro AI for Virtual Visits
The ChartPro AI Assistant can now be launched during video telehealth visits, allowing providers to capture an AI-assisted SOAP note from a virtual appointment in the same way they would for an in-office visit.

The ChartPro AI note preview window now offers two clear options after generating a note: Save to Chart (immediately saves the note) or Send to Review (opens the note in the SOAP review screen before saving).
-
New
Recording Not Started Warning
If a provider opens a ChartPro AI session but has not pressed the record button within a few seconds, the interface displays a prompt reminding them to start recording. This reduces the chance of an encounter being documented without any audio captured.
-
New
Pause Recording Button
A pause button has been added to the ChartPro AI listener. Providers can pause audio capture mid-encounter without ending the session and resume when ready without losing any previously recorded content.
